Administrative Assistant (Part-Time)

Industry: Corporate Training

Compensation: Hourly wage will be discussed early in the application process

Location: Tallahassee, FL with some travel required for training seminars

Schedule: Approximately 20-30 hours per week. Core hours for Tuesday, Wednesday, and Thursday are 9:00 AM to 4:00 PM. Flexibility is required for client training seminars which may start as early as 7:00 AM. Typically, work will be in-office Tuesday - Thursday with optional remote work available on Mondays and Fridays.

Essential Tasks of the Administrative Assistant:

  • Provide administrative support to the CEO regarding client communications, technology software, and training matters.
  • Maintain current and prospective client databases with accuracy.
  • Collaborate with Sr. Trainer/CEO to prepare training materials and organize workshop supplies and participant gifts within 72 hours prior to events.
  • Attend workshops and training sessions with the Sr. Trainer/CEO.
  • Build and maintain positive client relationships through clear and empathetic communication.
  • Document client interactions and follow-up actions accurately in the shared drive.
  • Manage multiple concurrent projects effectively, ensuring timely completion aligned with RLL goals.
  • Plan logistics, scheduling, and follow-up for off-site training seminars and workshops.
  • Take pertinent and legible notes during training and coaching sessions.
  • Organize and manage virtual meetings using platforms like Zoom and Microsoft Teams.
  • Plan and edit in-person and virtual leadership training programs and associated curriculum under direction of the CEO and training team.
  • Work with accounting/bookkeeping personnel to create invoices (as needed).
  • Perform other office duties like mailing letters/items, ordering supplies, etc.

  • 3+ years of professional administrative experience.
  • Associates degree preferred, but not mandatory.
  • Ability to work Tuesday, Wednesday, and Thursday between the hours of 9:00 AM to 4:00 PM.
  • Flexibility to work client training sessions, which sometimes start as early as 7:00 PM. Note that RLL typically has 2-3 training seminars each month.
  • Strong attendance and punctuality.
  • Persistence, follow-through, and strong organizational skills.
  • Excellent attention to detail, initiative, and problem-solving abilities.
  • Proficiency with computers, standard office software, and IT.
  • Experience in planning logistics of off-site training and workshops.
  • Experience with organizing and managing virtual meetings using platforms like Zoom or Microsoft Teams.
  • Proficiency with project management software like Monday.com or Trello (preferred, but not mandatory).
  • Clean driving record and reliable transportation.
  • Clean criminal background and credit check.
  • Ability to lift and carry up to 30 pounds of training materials and stand for extended periods during workshops.
  • Professional attire and cleanliness that reflect an executive presence.
  • Dedicated home office that is free from distractions and is equipped with high-speed internet.
