Job Description

Work Schedule - Part Time (Hours will vary)

JOB SUMMARY


The Event Assistant will report directly to the Special Events Coordinator. This position will be responsible for working with multiple teams, as well as performing solo tasks, to ensure that events are properly set up including equipment and printed materials according to event specs and project manager specifications. The event assistant will be required to assist with removing equipment once an event is over. The person in this position will also assist with the preparation of event venues for hosting events including, but not limited to, groundbreakings, internal ceremonies, parades, tabling events, trade shows, etc.



PRIMARY RESPONSIBILITIES


Assist with load in, execution and load out as directed for event elements like d cor, entertainment and/or catering.
Assist with the development of run of shows for special events including but not limited to internal and external events, community tours and transit adventures.
Provide various support at events including check-in at registration desks, way finding with directional signage, and other customized roles as it relates to event needs.
Ensuring the cleanliness, operational efficiency, and maintenance of designated event areas
Coordinate with other members of the event staff to complete job requirements.
Proper care, movement, storage of all equipment such as tables, chairs, risers, event flags, shovels, helmets, groundbreaking boxes, etc.
Maintain, collect, and organize event materials during setup and breakdown.
Inspect equipment for damage after use and check it against an inventory list.
Support Capital Metropolitan Transportation Authority's Safety Management Systems (SMS) process by ensuring staff follows safety and security policies, considers safety in every action, and ensures safety and security concerns are reported.
Perform other duties as required and/or assigned.



MINIMUM QUALIFICATIONS



Education and Experience:


High School Diploma or equivalent
One (1) year of event planning experience.
Must possess a valid Driver's license.



Knowledge, Skills, and Abilities:


High level of attention to detail and a desire to help where needed.
Strong organizational skills
Ability to work solo and/or as a part of a team.
Ability to work on your feet for extended periods of time.
A positive attitude and strong interpersonal skills
Strong verbal and written communication skills
Excellent critical thinking abilities
Ability to work in a fast-paced, deadline-oriented atmosphere.
Ability to efficiently multitask.



WORK ENVIRONMENT AND PHYSICAL DEMANDS


Work is performed in an outside environment and may have exposure to inclement weather and adverse weather conditions. Must be able to work varying shifts including evenings, weekends, and holidays. The Incumbent must have the ability to walk, bend, stoop, balance, crawl and reach for at least 8 hours a day, work in varying weather conditions, and lift, up to 25 pounds without assistance. This position may require work beyond a normal forty-hour weekly schedule. This job will require various shift work. Reasonable accommodation may be made to enable individuals with disability to perform the essential functions as previously described.



Mobility Status:
As a Circulating position, the incumbent has an assigned gathering space. This is usually an operations position. The employee is expected to come in daily for check-in and check-out processes but does not work in an individual workspace.
