Job Title: Executive Assistant

Pay Rate: $30/hr.

Shift: 8 AM - 5 PM

Benefits: Medical, Dental, AD&D

Summary of Position

The Operations Executive Assistant must display excellent communication and people skills and maturity in handling business and confidential situations. He/she will produce standard and confidential correspondence, spreadsheets, prepare or assist with maintaining databases and FMDS boards, and materials for meetings; make travel arrangements; and manage the inventory and reordering of materials and office supplies. Exercise independent judgment in the resolution of administrative problems.

Essential Duties and Responsibilities

• Highly organized with strong attention to detail
• Ability to manage multiple projects in a fast-paced environment and able to prioritize projects
• Managing an extremely active calendar of appointments
• Prioritizing conflicting needs; handling matters expeditiously, proactively, and following through
• Anticipating and preparing materials needed by the executive for conferences, correspondence, appointments, meetings, telephone calls, etc.
• Planning, coordinating, and ensuring the VP’s schedule is followed and respected
• Planning and scheduling offsite meetings
• Use analytic software and Excel to update OA KPIs
• Communicate with executive, administrative, and line management personnel to gather or convey relevant information
• Organize and maintain confidential files and records
• Work effectively with internal and external clients
• Arrange complex and detailed travel plans and itineraries; compile documents for travel-related meetings
• Consistently meet deadlines with minimal supervision
• Perform floor walks to observe and report back progress and issues related to department FMDS boards
• Assist Ops Directors with their FMDS boards and schedules as needed, including auditing/correcting their boards for accuracy and timeliness
