The Minnesota Board of Cosmetology is dedicated to protecting the health and safety of Minnesota citizens and visitors by regulating the practice of cosmetology. The Board is comprised of seven board members representing each cosmetology license type and the public. Board staff is comprised of five divisions and more than 20 employees. The Board oversees more than 34,000 practitioners, 5,400 salons, and 41 schools across the state.
The Front Desk Administrative Assistant serves as the primary receptionist for the Board, answering phone calls, greeting and registering visitors, and managing general front desk operations. This role is the first point of contact for applicants, licensees, and the public, and requires professional, friendly, and effective communication in person, by phone, and in writing.
The incumbent assists licensing applicants by answering questions, explaining requirements, resolving problems, and supporting completion of applications and related processes. This requires clear interpretation and communication of statute and rule requirements.
The incumbent also supports all agency divisions by completing special projects and providing general administrative assistance. This includes tasks such as creating and tracking invoices; drafting correspondence; running reports; preparing forms, spreadsheets, and documents; performing data entry; copying, scanning, and filing; handling cash payments; and processing incoming and outgoing mail.
**Minimum Qualifications**

+ Knowledge of communications sufficient to read, explain, and interpret a variety of materials; compose correspondence with accurate spelling, grammar and punctuation; and to communicate effectively with internal and external customers.
+ Customer service skills sufficient to: (1) provide prompt, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence; (2) effectively communicate and elicit information with tact and diplomacy in difficult situations; and (3) efficiently resolve customer problems.
+ Word processing skills sufficient to develop and modify a variety of correspondence, records, spreadsheets, and reports; and develop forms and charts.
+ Data entry skills sufficient to create database records and update entries or create and apply the basics of spreadsheets and supply/retrieve information in databases.
+ Desktop publishing skills sufficient to assist with document creation including meeting materials, publications, presentations, listings, and other items using Microsoft Word, PowerPoint, and Excel.
+ Math skills sufficient to apply payments and maintain complete and accurate deposit records.
**Preferred Qualifications**
+ Associate degree or higher
+ Customer service experience
+ Experience in licensing or compliance
+ Skills to succinctly communicate complex rules, policies, legislation, and procedures to a variety of audiences, both verbally and in writing
+ Experience with cash-handling and accepting all forms of payments
+ Experience multi-tasking and working in a fast-paced environment
+ Ability to understand, interpret and apply statutory language
+ Ability to handle private data
**Additional Requirements**
