Job Description

Overview
We are seeking a highly organized and proactive Personal Assistant to support our team in managing daily operations and enhancing productivity. The ideal candidate will possess strong clerical skills and be adept at handling various administrative tasks. This role requires a detail-oriented individual who can effectively manage calendars, coordinate events, and maintain organized records.

Responsibilities

  • Scheduling meetings, appointments, and events, managing conflicts and ensuring accurate availability.
  • Organize and file documents, ensuring easy access to important information.
  • Drafting emails, letters, reports, and presentations.
  • Assist with monthly internal accounting tasks for multiple businesses.
  • Utilize Quickbooks for basic financial tracking and reporting as needed. (prior knowledge of Quickbooks not required)
  • Prepare and proofread documents for accuracy before distribution.
  • Gathering information, conducting research on behalf of the employer
  • Coordinate event planning, including logistics, invitations, and follow-ups as needed.
  • Handle correspondence via email and other communication platforms.
  • Answering phone calls, emails, and managing correspondence, taking detailed notes and relaying information, as needed.
  • Handling personal tasks like drop-off or pick-up from school or the veterinarian, pick-up of supplies, or other similar tasks.
  • Communicating with internal and external contacts as needed.
  • Transcription of brief recordings for owner to keep track of client interactions.
  • Maintaining databases and filing systems.
  • Collating and filing the manager’s business expenses and travel expenses.
  • Photo or video editing experience is a plus, but not required.

Skills

  • Highly familiar with software suites, such as Microsoft Office (Outlook, Word, and Excel)
  • Customer service skills
  • Ability to multitask and prioritize workloads
  • High level of attention to detail
  • Educated to High School Diploma level
  • Strong clerical skills with attention to detail in filing and document management.
  • Familiarity with QuickBooks is a plus but not required.
  • Excellent proofreading abilities to ensure high-quality documentation.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Effective communication skills, both written and verbal, to interact with team members and clients.
  • Ability to follow established processes.
  • Highly organized with excellent time management skills.
  • Ability to communicate clearly and concisely with clients of all levels both internally and externally
