Job Description

A dynamic real estate firm specializing in residential rentals and property management is seeking an experienced Office Manager to oversee daily administrative operations and support the management team. Known for their strong presence in the New York City market, they work closely with landlords, agents, and tenants to ensure smooth leasing processes and well-maintained properties. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. Responsibilities include supervising support staff, ensuring accurate invoicing and lease agreement reviews, and maintaining direct communication with agents, landlords, and tenants.

Responsibilities:

  • Administrative Oversight : Supervise office staff, including a secretary, ensuring tasks such as invoicing and advertisement postings are completed accurately and timely.
  • Lease Management : Review lease agreements for accuracy, coordinate tenant communications, and oversee the application process to ensure compliance with company policies.
  • Agent Coordination : Maintain direct communication with real estate agents and landlords, providing support and ensuring alignment with company objectives.
  • Marketing Support : Ensure property advertisements are effectively placed and updated across various platforms, collaborating with agents to gather necessary information and photographs.
  • Process Improvement : Identify and implement improvements in office procedures to enhance efficiency and service quality.

Qualifications:

  • Bachelor’s degree in Business Administration, Real Estate, or a related field preferred.
  • Minimum of 2–3 years of experience in office management, preferably within the real estate industry.
  • Proficient in Microsoft Office Suite and familiar with real estate management software.
  • Strong interpersonal and communication skills, with the ability to interact effectively with team members, clients, and external partners.
  • Detail-oriented with excellent organizational and multitasking abilities.
